Your company may have been using the same HR software for years. Familiar, reliable software is comfortable, but upgrading can unlock processes and freedoms you did not know you needed. Here are five warning signs that it is time to look at replacing your system.
1. You still struggle to navigate the software
Companies can use the same HR software for a decade without ever understanding more than the basics. If you have used yours for some time and it is still confusing, it is probably time to look for a replacement. A training course should not be a prerequisite for simple HR tasks. An easy-to-use interface has a direct effect on how much work actually gets done.
2. The solution does not fit your industry
Every industry is different. When a new law or regulation affects your sector, a generic package is unlikely to update its offering to match. A solution that was never designed with your industry in mind will not give your business everything it needs. Your system should fit the goals and future of your business.
3. It has poor or no risk management
As a business grows, the risks grow with it. HR is heavily regulated and compliance requirements keep changing, from data protection rules such as GDPR to restrictions on how employee data is managed. Security matters just as much, especially with rising cyber attacks. Do you know exactly where employee personal data is stored and how it is used? Do you trust your information security? If you cannot answer those questions, review your software.
4. The interface looks dated
If your HR software has not been updated in years, it is time to change it. Older technology cannot keep up with the features and capabilities of current systems, and staying on it means missing the improvements that have shipped since.
5. Poor technical support
When something goes wrong, you need competent and readily available support. Data gets corrupted and files need recovering, and you do not want to be helpless when it happens. Any HR software provider should have a technical support team you can actually reach.
If you recognise several of these in your own system, it may be time to look for a replacement. Working with your HR system should not leave you with a sense of dread. The purpose of HR software is to make your work more efficient and easier. Our HRIS selection page explains how we help teams find a system that fits, or you can talk through the pressure points.
